Discord, Stripe, and other service providers have their own privacy terms for the information they process on their platforms.

Organizations using Clocky for workforce or professional purposes are responsible for determining and communicating their own lawful basis, notices, access rules, and retention obligations.
3. What Data We Collect
3.1 Service Data
- Discord User ID: Your unique Discord identifier (required for bot functionality)
- Discord Username: Your current Discord username (for display purposes)
- Discord Guild/Server ID: The ID of servers where you use the bot
- Timestamps: When you check in, check out, take breaks, and use commands
- Work Data: Session, break, project, and related server settings used to provide time tracking
- Dashboard Account Data: Discord OAuth identifiers and tokens needed to sign in and list servers you can manage
- Billing Status: Plan, entitlement, and provider-reference data needed to grant paid access
3.2 Payment Processing
Stripe or Discord collects payment details on its own checkout. Clocky receives the identifiers and subscription or payment status needed to activate and manage the purchased plan; complete card details are not entered into Clocky.
3.3 Product Analytics
Clocky uses PostHog's EU service for limited server-side product analytics, such as whether an installation, check-in, checkout, settings change, or subscription event succeeded. Discord user and server IDs are transformed with a secret one-way HMAC before they are sent.
Clocky does not send usernames, email addresses, server or channel names, project names, session notes, payment identifiers, or full URLs to PostHog. Browser autocapture, session replay, console capture, and advertising profiles are not enabled.
3.4 Optional Advertising Measurement
Clocky offers an optional Google Ads measurement setting on the public website. The Google tag is not loaded unless you choose “Allow measurement.” If enabled, it can process page and device information and record when you choose an “Add Clocky” link so Clocky can evaluate advertising performance.
Advertising user-data sharing, personalised advertising, and enhanced conversions are disabled. Clocky does not send Discord identifiers, usernames, server information, work-session records, or billing details to the Google Ads tag.
Your choice is stored in your browser so it can be respected on later visits. You can change it at any time using “Tracking choices” in the website footer. Keeping measurement off does not affect your ability to use the website or install Clocky.
4. How We Use Your Data
We use service data for the following purposes:
- Time Tracking: Recording your check-in/check-out times and break sessions
- Statistics & Leaderboards: Calculating and displaying work hour statistics
- Operations: Securing, diagnosing, and improving the service
- Support: Providing technical support when issues arise
Clocky does not use time-tracking records to serve advertising.
5. Data Storage and Security
Clocky stores application data in a database and restricts bot and dashboard operations through authenticated service routes and server-scoped authorization checks.
Administrative access and service credentials should be limited to people and systems that need them. No online system can guarantee absolute security.
User-facing dashboard access is checked against the Discord server being requested. Contact support if you believe information has been accessed incorrectly.

These windows describe how far back plan reporting can query. They are not a promise that records are automatically deleted when a window ends.
Use /data-delete to create a deletion request. Depending on server settings and current operations, an administrator or Clocky operator may need to review and complete the request.

Export
Use /data-export to request the time-tracking data available through the bot in machine-readable JSON format.
Deletion Request
Use /data-delete to start a request concerning your Clocky time-tracking data.
A server administrator may be asked to approve or deny the request. Current dashboard workflows can also require an operator to complete an approved action.
Other Requests
